Privacy policy.
1. Who we are
The Untitled Agency is a branding and design studio registered in England and Wales (company number 10678594). We are the controller of the personal data described in this policy. You can contact us about anything in it at marissa@theuntitledagency.com.
2. What we collect
We only collect what we need to run the studio:
Contact details, such as your name, email address, phone number and company, when you get in touch or work with us.
Correspondence and project information you share with us by email, phone or in meetings.
Business and billing details we need to invoice you and keep our accounts.
Basic website data, such as pages visited, device, browser and approximate location, collected through cookies (see section 5).
3. How we use it
To reply to enquiries and talk to you about our work.
To deliver projects and manage our relationships with clients.
To send invoices, keep financial records and meet our legal and tax obligations.
To understand how our website is used and improve it.
Occasionally, to send you news about our work, where the law allows. You can opt out at any time.
We do not sell your data, and we do not share it with other businesses for their own marketing.
4. Our legal basis
Under UK data protection law, we rely on:
Contract: where we need your data to provide our services, or to take steps before we agree to work together.
Legitimate interests: to run and promote the studio, reply to enquiries and improve our website, where this doesn’t override your rights.
Legal obligation: to keep financial and tax records.
Consent: where we ask for it, for example for some cookies or marketing. You can withdraw consent at any time.
5. Cookies
Our website is hosted by Squarespace, which sets cookies. Some are essential for the site to work. Others collect statistics about how the site is used so we can improve it. You can control or delete cookies in your browser settings, or through the cookie banner where one appears. Blocking some cookies may affect how the site works.
6. Who we share it with
We use trusted service providers to run the studio, including our website host (Squarespace), email and file-storage providers, and our bookkeeper and accountants. They only use your data to provide services to us. We may also share data where the law requires it.
Some providers store data outside the UK. Where they do, we make sure appropriate safeguards are in place, as UK law requires.
7. How long we keep it
We keep personal data only as long as we need it. Enquiries that don’t lead to work are deleted after two years. Client and financial records are kept for six years after a project ends, to meet tax and legal requirements.
8. Your rights
You have the right to:
access the personal data we hold about you;
ask us to correct it if it’s wrong;
ask us to delete it;
ask us to restrict or object to how we use it, including for direct marketing;
receive a copy of your data in a portable format;
withdraw your consent at any time, where we rely on it.
To use any of these rights, email us. We’ll reply within one month, and there’s normally no charge.
9. Complaints
If you’re unhappy with how we’ve handled your personal data, please email us first. We’ll acknowledge your complaint within 30 days, look into it and let you know the outcome without undue delay.
If you’re still not satisfied, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
10. Other websites
Our site may link to other websites. We’re not responsible for their privacy practices, so please read their policies.
11. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page.
